Events Manager

This describes the details of the job opening for the position of Events Manager of the Rutgers Graduate Student Association (RU-GSA). Duties include sending out the weekly events email, managing the GSL (Graduate Student Lounge), and helping GSOs plan events. See the job description below. The pay is $20 hourly and you would work an average of 12 – 15 hours weekly. The new Events Manager will take over immediately with minimal duties until mid August. Summer semester duties include the following tasks: responding to emails and reserving spaces prior to Fall 2017. Remaining duties will begin in the weeks leading up to the Fall 2017 semester.

Key Duties

  • Manage GSA and GSO event bookings using CenterRes online system — Liaise with the Office of Meetings and Events in Cook Campus Center in order to manage all GSA bookings and GSO bookings set up by the GSA.
  • Communicate with Executive Council regarding GSA events that require a reservation.
  • Ensure timely submission of documentation to pay vendors on behalf of GSA — Prepare internal expense reports promptly to ensure payment of GSA accounts with campus vendors, such as food vendors and Rutgers Office of Meetings and Events.
  • Manage GSA Events and GSA Market Listservs — Check the events@gsa email account, and reply promptly to any queries; Compile the weekly notices and send out to the events listserv by Monday morning.
  • Maintain GSA Events calendar — Enter all GSA sponsored events and events submitted for publication by GSOs; ensure office hours are listed in GSA Events calendar.

Other Duties

  • Book GSL, order food, help setup and cleanup for monthly council meetings.
  • Book GSL, order food, and help at EAC meetings once per semester.
  • Plan and execute major social events on behalf of the GSA.
  • Make sure AV equipment is in working order.
  • Work with Business Manager to maintain the GSO offices and conference room.
  • Help the Vice President for Marketing, Orientation, and Communications.
  • Maintain GSA bulletin boards outside office: put up useful information, post fliers, and remove outdated or unauthorized postings.

Required Qualifications

  • Strong communication and negotiation skills for maintaining positive
    relationships with GSA leadership, Rutgers administrative staff, Rutgers
    custodial and facilities staff, and on- and off-campus vendors.
  • Good organizational skills.
  • Strong teamwork skills.
  • Ability to work independently.
  • Flexibility for weekend, evening, as well as winter, spring, and summer break
    work duties.
  • Ability to complete minor cleaning and set-up tasks in the Graduate Student
    Lounge.
  • Ability to make purchases for GSA week-to-week events on GSA’s
    reimbursement system.

Additional Qualification As a Plus

  • Interest and/or past experience in planning large-scale social events.
  • Interest and willingness to attend and support various GSA-related events.
  • Experience recruiting volunteers to support event planning and execution.
  • Experience promoting student events.
  • Interest and/or past experience in working with GSA affiliates, such as TA/GA
    steering committee.
  • Interest and/or past experience in collaborating with other Rutgers
    departments and programs to host graduate student events, such as Town Hall
    meetings or themed movie screenings.

Salary

$20 per hour and maximum is 15 hours per week.

Web Administrator

The Rutgers Graduate Student Association (GSA) is seeking a Web Administrator to maintain its technological needs.

Key Duties

  • Support for the Rutgers GSO website (built on a Python Framework)
  • Manage and enhance the Rutgers GSA website (built on WordPress)
  • Administer Google Apps
  • Work with external institutions that offer technological services to the GSA

Required Qualifications

  • Strong communication skills for maintaining positive relationships with GSA leadership and Rutgers administrators
  • At least 2 years expertise in hand-coding HTML, JavaScript, CSS..
  • Experience programming and debugging a modern language such as Python/Java/Javascript.
  • Experience working in a Unix environment.
  • Ability to weigh editorial and design concerns against technical constraints.
  • General familiarity with internet networking.

Additional Qualification As a Plus

  • Portfolio of previous work
  • Experience with managing social media integration
